Privacy Policy

This Policy explains how Alia handles account information, connected workplace data, AI interactions, and product usage data.

Scope and our role

This Privacy Policy applies to the Alia websites, applications, integrations, AI-powered features, and related services (the “Service”). Alia is operated by Prosieve, Inc. and its affiliates (“Alia,” “we,” “us,” or “our”).

For workplace data processed for an organization, that organization is generally the controller or business and Alia acts as its processor or service provider. The organization decides what data is connected, who may access it, and how it is used. Alia is generally the controller for account administration, our websites, direct communications, security, and our own business operations.

If your organization provides your Alia account, it may administer the account and workspace. Questions about your employer’s monitoring, employment decisions, or use of Alia should be directed to your organization.

Information we collect

Depending on how Alia is configured, we may collect:

  • Account and organization data: name, work email, authentication identifiers, profile details, role, team, workspace details, preferences, and invitation or membership information.
  • Connected workplace data: messages, channels, reactions, files, pages, repositories, issues, pull requests, calendar events, attendees, meeting metadata, recordings, notes, transcripts, speaker information, and directory or profile data from services the Customer connects.
  • AI interactions and derived data: prompts, conversations, feedback, outputs, summaries, extracted observations, commitments, entities, relationships, classifications, recommendations, indexes, embeddings, workflows, approval records, and action history.
  • Integration data: provider and connection identifiers, permissions, configuration, OAuth tokens, API credentials, sync status, webhook information, and related technical metadata.
  • Usage and device data: IP address, browser and device information, timestamps, page and feature use, clicks, performance, errors, diagnostic logs, and security events.
  • Communications and business data: support requests, product feedback, demo or sales communications, and billing information if applicable.

Workplace data may concern people who do not have an Alia account, including coworkers, meeting participants, customers, and contractors. Customer is responsible for providing required notices and establishing a lawful basis for that data.

Where information comes from

We receive information:

  • directly from you when you create an account, submit content, or contact us;
  • from your organization and its workspace administrators;
  • from services connected by you or your organization, such as workplace communication, calendar, meeting, note-taking, documentation, and development tools;
  • automatically when you use the Service; and
  • from public sources when a feature asks Alia to read publicly available company or website information.

How we use information

We use information to:

  • create accounts, authenticate users, and administer workspaces;
  • connect and synchronize authorized services, build Customer-specific context, answer questions, generate output, and perform enabled actions;
  • personalize the experience for a user and organization, including language, routines, recommendations, and organization-specific memory;
  • operate, maintain, troubleshoot, secure, and prevent abuse of the Service;
  • provide support, respond to requests, and communicate service, security, and account information;
  • understand product use and improve reliability, usability, and features; and
  • comply with law, enforce agreements, and protect rights and safety.

Messages explicitly directed to Alia may trigger operational notifications to authorized Alia personnel and may include a limited excerpt so we can provide support, operate the requested feature, or investigate an issue. Access is limited to personnel who need it for those purposes.

AI processing and product improvement

Alia uses third-party AI and infrastructure providers to process Customer Content and generate requested features. We provide those providers only the information reasonably necessary to perform their services, subject to contractual and security controls.

We may use account and usage data, feedback, diagnostic information, and aggregated or de-identified data to personalize, analyze, secure, and improve Alia. Customer Content may be used to provide, troubleshoot, and improve the Customer-specific experience, including its organization memory and visible features.

We do not use Customer Content to train generalized AI or machine-learning models unless the Customer affirmatively opts in under separate terms. We never use data obtained through Slack APIs to train AI or machine-learning models, even if a Customer opts in to other model-improvement terms. We do not use Google Workspace API data to develop, improve, or train generalized AI or machine-learning models.

Cookies and analytics

We use cookies, local storage, and similar technologies for authentication, security, preferences, and product analytics. Analytics may include page and feature use, clicks, heatmaps, performance, errors, and session replay of on-screen interactions.

We configure typed inputs and sensitive fields to be masked in session replay and do not intentionally record request or response bodies. However, text already visible on a page may appear in a replay. We use replay to understand usability and diagnose issues, restrict access, and apply retention controls.

You can control cookies and local storage through your browser, although blocking essential technologies may prevent the Service from working.

How we disclose information

We may disclose information to:

  • vendors that provide cloud hosting, storage, authentication, AI processing, analytics, communications, security, support, and payment services;
  • connected services when a user or Customer asks Alia to retrieve, synchronize, send, post, or update information;
  • Customer’s workspace users and administrators according to permissions and product configuration;
  • professional advisers under confidentiality duties;
  • authorities or other parties when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or enforce agreements; and
  • a successor in a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law and required notice or consent.

Within the Service, we use source context and audience information to keep workplace data within the audience that could already access it. If a requested use would cross a visibility boundary, Alia may ask an authorized holder of the information for approval before disclosing it to a new audience. Approval within Alia does not change permissions in the connected service.

We do not sell personal information or share it for cross-context behavioral advertising. We do not use Customer Content for advertising.

Google Workspace data

If you connect Google Calendar or Google Meet, Alia may access account identity, calendar events and attendees, meeting spaces, and available meeting transcripts to provide calendar, meeting, and coordination features requested by you or your organization.

If you connect Gmail, Alia uses the read-only Gmail permission to retrieve messages from the recent history window you select and to keep that bounded window current. Alia may process sender and recipient addresses, subject, authored message text, limited prior thread context, and attachment names, types, and sizes. It does not download attachment files or create, edit, send, label, or delete Gmail messages. After retrieval, drafts, chats, spam, trash, calendar artifacts, bulk or automated mail, broadcasts, unreadable messages, and messages matching sensitive financial filters are excluded before the insight pipeline. Accepted email content and Customer-specific derived results are stored and used to provide context, answers, insights, and follow-through visible in Alia according to the message audience, subject to the retention and deletion terms in this Policy.

Alia’s use and transfer of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Human access to Google Workspace data is limited to cases allowed by that policy, such as specific support with explicit consent, security, legal compliance, or aggregated and anonymized internal operations.

You can revoke Google access from Alia or your Google account settings. Revocation stops new access but does not automatically delete data already imported into Alia; contact your workspace administrator or us to request deletion.

Retention and deletion

We retain information for as long as reasonably necessary to provide the Service, maintain the Customer’s workspace and organization-specific context, comply with law, resolve disputes, enforce agreements, and protect security. Retention depends on the data type, Customer configuration, contractual requirements, and legal obligations.

Disconnecting an integration stops future collection but generally does not delete previously imported content or Customer-specific derived data. Workspace administrators may request deletion of a connection, account, or workspace. Deletion from active systems may not be immediate, and limited copies may remain temporarily in backups, security logs, or records we must retain by law.

Slack is an exception to that general disconnect rule. Removing the Alia app from a Slack workspace revokes our stored Slack authorization and opens a deletion request automatically. We delete Customer and personal data associated with that Slack installation, including Slack-derived records, within 14 business days. We may retain only information that has been irreversibly aggregated or de-identified so it can no longer identify the Customer, workspace, or a person, plus minimum content-free records needed to document the request and its completion or comply with law. You may contact us to track or clarify the request.

We may aggregate or de-identify information instead of deleting it. We may retain that information if it no longer identifies a Customer or person and we do not attempt to re-identify it.

Security and international transfers

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls and protections for data in transit and at rest where appropriate. No system is completely secure, and we cannot guarantee absolute security.

Alia and its providers may process information in the United States, Brazil, and other countries where we or they operate. Where required, we use recognized transfer mechanisms and contractual safeguards for international transfers.

Your rights and choices

Depending on your location, you may have rights to access, confirm, correct, delete, obtain a copy of, restrict, or object to processing of your personal information; withdraw consent; appeal a decision; or request information about disclosures. You may also have a right to complain to a data-protection authority.

For personal information controlled by your organization, submit your request to that organization. We will assist it as required. For information Alia controls, contact us using the email below. We may verify your identity and authority before acting and may retain information where permitted or required by law. We will not discriminate against you for exercising an applicable privacy right.

Children

The Service is not intended for anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided information to Alia, contact us so we can investigate and take appropriate action.

Changes and contact

We may update this Policy as Alia and applicable law change. We will post the revised Policy and update the effective date. If a change materially affects how we use personal information, we will provide additional notice or obtain consent where required.
